The cloud. It’s everywhere. From personal use of storing photos and music from our smartphones to syncing seamlessly with our desktops and laptops, it frees up a lot of storage space and eliminates the need for an external hard drive. But what does it mean for financial planning professionals who want to go paperless?

What are the considerations a firm owner or IT director needs to consider when going paperless? Are there advantages of cloud-based electronic document management systems, or are enterprise systems—which are housed on a company’s server rather than in the cloud—a better option for some?

Here, I’ll take a look at these options and help dispel the myths of both types of implementation to make the options more clear.

Enterprise Systems

Enterprise document management systems—systems for which you buy paperless office software to add to your own system and infrastructure—are ideal for small and mid-sized firms that have in-house IT support and back-up servers to provide an extra level of security. They’re also a good fit for those firms that aren’t quite comfortable with storing sensitive data on the cloud, and for those that are waiting to see how effective cloud-based security systems really are.

If you’re the kind of person who waits until a manufacturer puts out a second generation of any given product (think Apple’s iPhone) so that they can iron out the wrinkles, you’re probably playing a game of wait-and-see with how the cloud performs when faced with potential security breaches. So, in the meantime, an enterprise paperless office system, like SAFE, that you can maintain on your site might be an option.

Cloud Systems

On the other hand, cloud systems, like SAFE CLOUD, have a few advantages over enterprise systems.

One of the biggest advantages is the often robust IT team that staffs the paperless cloud platform’s back-end. For firms that are just getting started or for those that outsource IT needs, having a team of experts backing up their cloud systems and monitoring the security and updating available features is often a benefit small businesses find attractive.

The paperless cloud option also provides less hardware upkeep as well as peace of mind for business owners in the wake of natural disasters; in-office equipment isn’t compromised and sensitive documents are kept safe, translating into dollars and time saved getting back to business as usual.

Evaluating the Solution

No matter what route a firm decides to take, out-of-the-box or in the cloud, there are three major benefits to managing documents virtually: increased efficiency, impenetrable security and immediate accessibility.

There are also a few standard questions you should ask as you research third-party document management providers. These include:

  • Is the paperless office solution configurable? Is the electronic document management software designed to work with your current software? Does the paperless workflow in the solution interface well with your workflow? Any new system comes with a learning curve, so it’s important that the solution be as configurable as you need it to be.
  • If you’re going paperless in the cloud, how often is information backed up?
  • If you’re choosing a hard install of enterprise electronic document management software, how often is the software upgraded? What are the fees associated with an upgrade? Is there a yearly maintenance and support fee?
  • For cloud-based paperless office solutions, what is the subscription fee to use the service? What does the fee schedule look like—is it per year, per person, or both?
  • Is the paperless office solution scalable? Will it accommodate your business as it grows? If so, what are the fees for extra/additional seats?
  • Does the electronic document management solution offer a mobile application? Business being what it is today, people need instant accessibility to key documents on the go. It’s important that a paperless office solution provider be in step with this need and provide a solution to make it happen.

During FPA Experience 2012 in San Antonio recently, a number of advisers approached me with this question: “What can I do to attract and keep visitors on my website?”

Conversations about websites seem to focus on copy content, but choosing the right images and color schemes are equally important. So I’d like to briefly touch on some of the most elementary principles that must be taken into consideration when building a website.

Basic Psychology
When designing your website, consider the most basic psychological aspects of your visitors’ experience:

  • what they want
  • how they want to get it
  • how you can make their experience valuable

Complement your copy with images that reflect your understanding of their issues, as well as your ability and expertise to effectively address them. Aesthetically pleasing images and chromatically coordinated colors help capture and hold your target audience’s attention and facilitate deeper engagement. So select images and colors that will likely create an immediate connection and help visitors follow your call to action—whether it is getting in touch with you, subscribing to your newsletter or referring a friend. If your key audience is widows, an image of a smiling couple riding in a convertible, although pleasant, will certainly not be help you connect with that audience’s main issues.

Instant Gratification
Visitors to your site seek instant gratification—they want to quickly be convinced that you can solve their issues. Treat every page of your website as a single communication project with a clear focus and purpose.

Keep in mind the adage: less is more. Avoid images and copy overload just because you are afraid of leaving some empty spaces. Sometimes, an empty space on your site is powerful; it reinforces your point, does not distract your audience, allows the visitor to reflect on your message and, ultimately, directs visitors to the destination you want them to go.

The Law of “Z”
In the Western world the majority of people tend to follow a “Z” pattern while browsing a website. They start across the top from the left and end in the bottom right corner of their screen. Although the Z-layout is not the ultimate solution for all websites, it naturally satisfies the average visitor’s habit. Consequently, seek to place the most important mark of your identity—your logo—at the top of the Z.

Visitors’ eyes will naturally follow the path of the Z to its end, where you’ll strategically place your call to action. Along the Z path make sure to provide valuable information that will further encourage and motivate visitors to act on your call-to-action.

Create a Bond
The type of images you choose for your website contributes to your visitors’ mood. Well-chosen, appropriate images carry and amplify your message. They capture your visitors’ attention, making them feel they are in the right place and persuading them to take action. Wrong images can leave them confused, annoyed lacking trust and feeling they have on a useless site.

What are the appropriate images to create that bond? Think about the primary purpose of your practice. If your practice specializes in retirement plans, select images that convey concepts such as the attainment of a goal or the ability to avoid danger—images that conjure in the visitor’s mind feelings of safety and not being alone. Good images have a clear-cut concept, are well perceived visually and psychologically, and have the power to create an immediate bond.

Credibility and Trust
Despite its popularity, the Internet can still be a scary place for many individuals. Fear of falling victim to scams makes many consumers wary and suspicious about sharing personal information online. Consequently, it is imperative to create an effective symbiosis of copy and images to convey trust, integrity and credibility.

The success of large consumer companies’ marketing campaigns hinge on the way consumers perceive colors and the images that make them buy. Think about the images and colors that prompt you to share your demographic info, request information or buy a product when you visit a website. Make sure that the colors and images you select for your own site reinforce your message and stimulate a visitor to reach out to you.

Fiverr is a website completely dedicated to tasks that people will do for just $5. The gigs (in Fiverr parlance) range from incredibly useful to incredibly wacky. Browsing the site for gigs is easy and even fun, and you can purchase, pay for and manage your gig directly through the website.

So what are some useful tasks you can cross off your to-do list for just $5?

Look Great
Spruce up your big presentation with custom illustrations from a talented designer, then hire a PowerPoint whiz to expertly animate your slides. You’ll also find great resources for designing a new business card, creating professional-quality handouts or updating your website.

Master Excel
Fiverr seems to be teaming with Excel experts who may help save hours of your time for just a $5 investment. Get help troubleshooting clunky formulas or have a macro or template written to reduce repetitive tasks. You can also get help with data entry, sophisticated formatting and creating charts that clearly communicate a vital concept.

Get Discovered
Search engine optimization is one of the largest categories on Fiverr, with thousands of gigs offering link building, content creation and more. SEO novices should tread carefully here, though, as the quality can vary quite widely and low-quality work can sometimes do more harm than good.

Sound Professional
Tap talented, professional voice-over actors to record your voicemail greeting or provide an introduction to a video. Have a mellifluous voice set the tone for your next interaction.  

Virtual Assistance
Having a mundane task completed virtually for just $5 is one way to better leverage your own time. Get more done while dazzling your clients by hiring someone to send thank-you emails, schedule follow-up meetings or complete online research.

Improve Your Writing
Working hard on a presentation for a big potential new client? Avoid losing out with a simple little mistake by having it reviewed by a professional proofreader. Fiverr is also teaming with talented writers and editors who can help you create great content for your website or punch up your sales copy.

Five bucks certainly isn’t much to spend for these types of tasks, and sometimes the work you get isn’t even worth what you paid for it. But with a little testing, a few 5-dollar bills can help you discover some incredibly talented people who will help you grow your business.
